Availabilities Review
Early each year the Manager, Class Management Office will advise Faculty Student Service Offices (FSSOs) of the Course Availabilities rollover date and the Unit/Thesis Availabilities rollover date. Course Availabilities are rolled over in March of each year. Unit/Thesis availabilities are rolled over in May of each year.
For courses the rollover takes place to maintain availabilities for two years in advance to allow the International Office to make offers. For units/theses the rollover takes place to maintain availabilities for one year in advance to allow the CMO to begin construction of future timetables.
During the lead up to the designated course rollover date, the FSSOs are required to audit the current year plus one (ie In 2011, Course Availabilities for 2012 should be audited). Each course availability should be reviewed to ensure all relevant availability details are correct and that each item required to be rolled over has the ‘Continuing Availability’ box flagged.
During the lead up to the designated unit/thesis rollover date, the FSSOs are expected to audit the current year’s availabilities (ie In 2011, Unit/Thesis Availabilities for 2011 are audited for inclusion in the 2012 timetable). Each Unit/Thesis Availability should be reviewed to ensure all relevant Availability details are correct and that each item required to be rolled over has the ‘Continuing Availability’ box flagged.
FSSOs hold responsibility for ensuring the accuracy of existing Availabilities before any rollover activity takes place and have access to make alterations to existing Availabilities where necessary. Availabilities which are no longer required should be deleted from the system as part of this audit process.
At the designated rollover date the Manager, Class Management Office will rollover all required course or unit/thesis availabilities into the relevant year.
